Why Corporate Events are Replacing Traditional Swag Bags With Gifting Stations

It feels interactive. Personalized. Fun.

And from an event strategy perspective, it’s one of the smartest ways to elevate attendee experience while also reducing waste and maximizing your event budget.

At Jen Singer Events, we love creating event moments that are both beautiful and practical, and the “Gifting Station” has become one of our favorite ways to do exactly that.

What Is a Gifting Station?

Instead of overwhelming guests with oversized conference bags packed with items they may never use, attendees receive a streamlined welcome gift bag at check-in and then have the opportunity to “shop” a curated gifting station during the event.

Guests can browse branded merchandise, wellness products, snacks, beach accessories, notebooks, reusable drinkware, or leftover swag from previous conferences and select the items they genuinely want to take home.

And honestly? Guests have a blast doing it.

It becomes an experience within the event itself.

Why Clients Love This Approach

First, it reduces waste. Most attendees don’t want another random promotional item tossed into a bag they didn’t ask for. When guests are empowered to choose what they actually want, they’re far more likely to keep and use those items long after the event ends.

It’s also a smart way to utilize existing inventory. Most organizations have leftover event swag sitting in storage somewhere — water bottles, tote bags, chapstick, apparel, beach balls, and branded giveaways from previous events. Instead of letting those items collect dust for years, a gifting station creates an elevated and intentional way to repurpose them.

But the biggest benefit? Guests genuinely enjoy the experience.

Attendees love browsing and selecting items themselves. It creates conversation, movement, and interaction during networking periods, and adds an experiential element without requiring a massive production budget.

The Design Matters

The difference between a cluttered swag table and a high-end gifting experience is all in the presentation.

For this recent activation, we created a retail-inspired setup using a gifting bar, open wood shelving, layered baskets, tropical greenery, branded signage, and decorative styling elements to make the space feel immersive.

The result felt less like “freebies” and more like a boutique shopping experience.

Tips for Creating a Successful Gifting Station

The best gifting stations feel curated and visually intentional. We recommend using a variety of vessels and display pieces like baskets, trays, risers, jars, and shelving to create dimension and texture.

Avoid overcrowding the shelves — giving products room to breathe instantly elevates the presentation.

Most importantly, make the station feel integrated into the overall event aesthetic through florals, greenery, signage, and styling details that align with the brand and environment.

The Future of Event Swag Is More Intentional

Today’s attendees are increasingly selective about what they take home from conferences and corporate events. The events that stand out are the ones that prioritize thoughtful experiences, sustainability, guest choice, and elevated design.

A gifting station checks every one of those boxes.

At Jen Singer Events, we believe the most impactful event details are often the ones that create delight in unexpected ways, and this is one of those experiences guests remember long after the event ends.

If you’re looking for creative ways to elevate your next conference, retreat, gala, or corporate event, we’d love to help you design an experience your attendees will actually talk about afterward.

Because great events aren’t just attended — they’re experienced.
